Regional Director of Operations – Kentucky – Kentuckiana Market


The Company

A network of 200 facilities including more than 750 physicians and advanced practice clinicians across Kentucky.  Providers represent more than 85 specialties including primary care and family medicine, internal medicine, osteopathic medicine, emergency medicine, general surgery and a wide range of surgical specialties offering advanced treatment and care.

Scope of the Job

The Regional Director of Operations will be focused on the operations of the network in the Kentuckiana Market.  The Director will be expected to work in a dyad concept with the Regional Clinical Vice President to provide the leadership, direction, and technical expertise to support clinic operations, support components of the acquisition process and front end revenue cycle activities.

Integral to success in this position, the Director must focus on the needs of the provider partners as well as effectively collaborate with hospital service line leaders and clinical personnel to ensure the success of each clinical operating unit in a manner that supports the overall strategy of the system.  The Director is responsible for the development, implementation, and execution of a cohesive operational infrastructure that provides for an exceptional patient experience and service excellence for the referring providers.  Success in this position will be evidenced by the achievement of budget targets, physician engagement, service excellence, and overall strong financial results.

The incumbent will ensure that all regional medical group activities are consistent with the mission and vision of the system, focusing on key operations goals, that support efficient practice operations and high quality patient and provider satisfaction, through exceptional customer service and patient care.  You will be responsible for creating a strong team oriented culture that is committed to patient-centered customer service, personal accountability, and regulatory compliance.

Responsibilities Include

Responsible for directing the overall practice/clinic operations that support the strategic objectives specific to the assigned region.   Key focus on implementing strategies relating to the development and management of a strong provider network which ensures consistent and standardized processes for quality clinical services, leading to an exceptional patient experience.  Strategies will create an environment which fosters positive physician, patient, and employee relationships.

The incumbent will be responsible for developing the infrastructure required to support the variety of service line initiatives associated with specialty care physicians and the overall success of the medical group.  The position continually evaluates clinic processes and procedures; and recommends improvements to clinical work standards, skill mix, patient and clinical work flow, appointment scheduling protocols, hours of operation, and other changes that will enhance the patient satisfaction, improve service to referring physicians, and improve financial success of each clinic.

Within your region, you will be responsible for the integration of the practice operations for primary care, medical and surgical specialists whose practices may be acquired by the group.  From an operational perspective, you will participate in the planning and launch of acquisitions to ensure seamless transition for patients, physicians, and employees.

Work to achieve cultural integration.  Manage the System brand by exporting the culture of service excellence and standardized care.

Identify gaps in network composition, services, or systems which ultimately have a negative impact on compliance, financial, and/or relationship outcomes.

You will research, evaluate, and provide guidance on operational short-falls within practices and work to resolve the short-falls.

Work with the VP of Operations and staff to support and sustain performance improvement efforts.

Engage along with the Regional Clinical Vice President with the physicians, staff members, and other key stakeholders in creating a culture that focuses on the needs of the patient and needs of the referring physician, as part of a continuum of care provided in the right place, at the right time by the right provider.

The incumbent works with regional hospital service line leaders to evaluate service expansion and growth opportunities.   Key focus will be promoting the culture that embraces the market and extends the System brand within the region and in alignment with overarching System goals.  Execute plans to achieve desired growth.

Work with Regional Managers to develop individual practice goals; uniform policies/procedures; and assurance of budget compliance for clinic operating units.

Acts as a mentor, resource, and support for direct reports to ensure strong communication resulting in an environment of encouragement and accountability.  Create a culture of being proactive versus reactive.

Direct and guide each Regional Manager on his or her individual practice budgets to ensure best possible financial outcomes and practice management.

Work collaboratively with the Medical Group CFO to improve clinic and service line operating margins, monitor provider productivity, allowed/paid time off, compensation, and revenue by location, with the goal of minimizing the level of hospital subsidization required for continued operations.

Develop strategies and lead the execution of site-specific action plans for promotion and adoption of Medical Group standard policies, processes and operational changes required to move in new directions (readiness for electronic health records, integrated delivery system with accountability for the delivery of healthcare).

You will develop and communicate efficient and effective departmental policies and procedures which contribute to the Medical Group standardization.

Lead standing meetings and related work efforts for regional managers and clinic managers.  Your Goal is effective and efficient transfer of information and staff development.

Promote and foster the development of a common and collaborative group culture that encourages involvement and belonging, connection to the System community, and recognition for exceptional performance.

Director must establish personal goals on an annual basis and share their goals with colleagues, leaders, and direct reports.  Working in collaboration with their direct reports, ensure that they establish annual goals.  Facilitate the establishment of interim goals. New employees should receive 90-day goals developed by their immediate supervisor.

Responsible for the efficient and meaningful use of meetings designed for physician and staff communication.  Practice Operations Council (POC) meetings should be a primary means of engagement for the physicians and providers in the region.  POC meetings are a critical component of physician engagement and the Director should be involved in developing the agenda.  Work as staff to the POC as required.

You must set clear expectations for accomplishments and give clear direction as to what level of approval is needed, so that their staff (regional managers, practice managers, and others) will become confident in their ability to perform at the desired level.  Everyone should understand what is important and what is expected at each level.  You must provide the focus required to move the organization to the next level.

Candidate Requirements

  1. BA/BS in Healthcare or Business related field.
  2. Healthcare experience must be in a business line that delivers direct patient care and works directly with physicians.
  3. Resume must demonstrate professional accomplishment evidenced by upward mobility and increasing responsibility.
  4. MBA/MHA preferred – Business related expertise may be substituted for advanced degree.
  5. A minimum of 8 – 12 years increasingly responsible management experience in large physician organizations strongly preferred. Experience with hospital-owned or sponsored physician networks is ideal.
  6. Experience in physician practice acquisition and integration; as well as, practice development preferred.
